This policy covers our website, slctraining.co.uk, and the enquiries, bookings and newsletter sign-ups that come through it or when you contact us directly. It doesn’t cover the records we keep about people who attend our courses, such as attendance and certificates; ask us if you’d like to know about those.
Our website is for adults and organisations. We don’t knowingly collect information from children through it.
What we collect and why
We only collect what we need. For each use, here’s what we collect, why, the lawful basis that allows us to use it, and how long we keep it.
When you send us an enquiry
- What
- Your name, email address, subject and message from the enquiry form on our website, and anything else you tell us by email or phone, such as your phone number, organisation, the training you’re interested in and how many people need it.
- Why
- To reply to you, answer your questions and, if you’re interested in training, prepare a quote and arrange it. We keep a record of our conversations so anyone in our team can pick them up.
- Lawful basis
- Our legitimate interests in responding to enquiries and running our business. If you’re asking about booking training, it’s also to take steps you’ve asked for before entering into a contract.
- How long
- Up to 2 years after our last contact with you, unless you become a customer (see below) or ask us to delete it sooner.
When you book training with us
- What
- Contact details for you and your organisation, the training booked, quotes, invoices and our correspondence.
- Why
- To arrange and deliver the training, invoice for it and keep proper business records.
- Lawful basis
- Carrying out our contract with you or your organisation, meeting our legal obligations (such as keeping accounting records), and our legitimate interests in running our business.
- How long
- Six years from the end of the financial year in which we last worked with you or your organisation, because we have to keep business and accounting records that long.
When you sign up to our newsletter
- What
- Your email address and when you signed up.
- Why
- To email you news about our courses, events and services.
- Lawful basis
- Your consent. You can withdraw it at any time by using the unsubscribe link in any newsletter, or by emailing [email protected].
- How long
- Until you unsubscribe, when we take you off the mailing list.
When you visit our website
- What
- Like any website, ours receives technical details from your browser so it can send you each page: your IP address, the type of browser and device you’re using, the page you asked for and when. Our server and hosting provider may keep these in logs.
- Why
- To show you the website, keep it secure and working properly, and look into faults or misuse.
- Lawful basis
- Our legitimate interests in running a secure, reliable website.
- How long
- Normally no more than 30 days, unless we need them for longer to look into a security problem.
We don’t use analytics or advertising tools to follow what you do on our website.
Google Maps and social media links
Our home and contact pages can show a Google map of where we are. It stays switched off until you choose to show it, because when it loads Google receives your IP address and can set its own cookies. Google is then responsible for that information, under the Google Privacy Policy (opens in a new tab).
Our links to Facebook and LinkedIn are ordinary links. Nothing loads from those sites until you click one, and their own privacy policies apply once you’re there.
Cookies
Cookies are small files that a website saves in your browser. We only use the ones that are strictly necessary for our website to work, which the law allows without asking. Anything else, which at the moment is only Google Maps, stays off unless you allow it. We remember your choice for 6 months, then ask again.
You can also block or delete cookies in your browser’s settings. If you allow Google Maps and later switch it off, the map stops loading, but cookies Google has already set stay in your browser until they expire or you delete them.
Who we share it with
We never sell or rent your personal information. We only share it when we need to, with:
- companies that provide services we rely on, such as website hosting, email and IT support. They may only use it to provide those services, on our instructions, and must keep it secure;
- our professional advisers, such as accountants, lawyers and insurers, when they need it to advise us;
- the police, regulators, courts or other authorities, when the law requires it or to protect someone’s safety;
- anyone who takes over all or part of our business, who would have to look after it in the same way.
If you choose to show the Google map, your browser sends information straight to Google (see Cookies).
Transfers outside the UK
Some of the services we use may store or access information outside the UK. When that happens we make sure it stays protected to UK standards: for example, because the UK government has recognised the country’s protection as adequate, or through contract terms approved by the Information Commissioner’s Office (ICO). Ask us if you’d like details.
Keeping it safe
We protect your information in ways that fit the risk. For example:
- our website uses an encrypted connection (HTTPS);
- only our own staff can see enquiries, each with their own account and a strong password; accounts lock after repeated wrong passwords and sign out automatically when not in use;
- we only keep what we need, for as long as we need it.
No website can be completely secure. If a breach of your information is likely to put you at risk, we’ll tell you, and the ICO where the law requires, without undue delay.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct it if it’s wrong or incomplete;
- ask us to delete it;
- ask us to limit how we use it;
- object to us using it for our legitimate interests, and stop us using it for direct marketing at any time;
- ask for information you gave us in a format you can take elsewhere;
- withdraw your consent at any time, for example to our newsletter or to Google Maps. This doesn’t affect anything we did before you withdrew it.
To use any of these rights, email [email protected] or call 07729 094995. It’s free. We’ll reply within one month; if your request is complicated we may need up to two more months, and we’ll let you know. We may ask you to confirm who you are first. Some rights don’t apply in every situation; if that affects your request, we’ll explain why.
We don’t make decisions about you based only on automated processing.
Complaints
If you’re unhappy with how we’ve handled your personal information, please tell us first, by email, phone or post using the details under Who we are, so we can try to put it right. We’ll acknowledge your complaint within 30 days, look into it, keep you updated and tell you the outcome.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk (opens in a new tab) or on 0303 123 1113.
Changes to this policy
We’ll update this policy when the way we use personal information changes, and change the date at the top. If a change affects information you’ve already given us, we’ll tell you directly where we can.
